Bespoke management service

CSM offers a bespoke management service for each unique residential development. We endeavor to minimise costs while maintaining a high level of service to both the residents and owners of the property.

CSM also ensures the health and safety compliance for each aspect of the development. Our aim is to give the owners full control of their property without the onus of daily management.

Services Provided

Financial

  • Organise and attend Directors' Meetings and Shareholder General Meetings, take minutes and provide all shareholders with copy.
  • Prepare budgets and give advice as to the appropriate level of service charge for each unique development.
  • Collect monies due in respect of the Service Charge.
  • Actively pursue all debtors up to and including small claims court.
  • Prepare detailed income & expenditure statements.

Maintenance and Repairs

  • Ensure all common areas are maintained to a high standard.
  • Liaise with maintenance contractors such as gardeners, window cleaners and cleaning companies.
  • Screen all contractors to ensure appropriate qualifications and insurances are in place.
  • Arrange and supervise maintenance contracts for all on-site apparatus and equipment such as lifts and pumping stations.
  • Arrange quotations for both scheduled and non-scheduled building works and repairs.
  • Co-ordinate all major works.
  • Produce a forward forecast for internal and external refurbishment as per the terms of the lease.
  • Ensure compliance with all Fire and Health & Safety regulations.
  • Provide a 24-hour maintenance and emergency line 24 hours a day, 365 days a year.

Site Visits

  • Assignment of each site to a dedicated property team to ensure continuity in management.
  • Regular scheduled site visits by property managers to ensure high maintenance standards on site and compliance with health and safety requirements.
  • Face-to-face contact with property managers during site visits.
  • Regular site visits by an in-house building and construction specialist to deal with structural issues and forward plan an ongoing maintenance programme.

Company Secretarial

  • Provide full company secretarial services using bespoke software.
  • In-house incorporation and restoration of companies.
  • Maintenance of the register of shareholders.
  • Statutory filing of annual returns and financial statements to Companies House.

Legal and Administrative Support

  • Arrange adequate block and public liability insurance for the entire development.
  • Oversee developer/solicitor/company initiation.
  • Update records on change of ownership.
  • Execute conveyancing documents upon completion of units within developments.
  • Supply information to solicitors with regard to past accounts, minutes, insurance, Memorandum and Articles of Association.
  • Ensure that the terms of lease are enforced and adhered to.
